3. How we use personal data
We use personal data only for legitimate business and service purposes connected to the website and diagnostic.
| Processing purpose | What that includes |
|---|---|
| Provide the diagnostic | Validating your submission, generating the instant diagnostic, and rendering the hosted report page you requested. |
| Support analyst-team review | Using your answers and generated summary to prepare or validate the follow-up diagnostic reviewed by our analyst team. |
| Communicate on approved channels | Sending the diagnostic, clarifying missing information, or replying on the channels you expressly selected. |
| Operate and secure the website | Maintaining uptime, troubleshooting submission issues, preventing misuse, and protecting report access. |
| Optional operational notes | If you separately opt in, sending short first-party operational notes. This is separate from required diagnostic communications. |
| Legal and compliance administration | Creating records needed to respond to requests, disputes, fraud concerns, or legal obligations. |
We do not sell personal data. We do not authorize third parties to use your diagnostic answers for their own advertising. We do not promise anonymous benchmarking or dataset training uses beyond internal service improvement unless and until this policy is updated to say so.
5. Retention and hosted report availability
We aim to keep personal data only for as long as reasonably necessary for the purpose for which it was collected. The current launch implementation has important limits that you should understand.
| Data category | Current retention position |
|---|---|
| Assessment submission and generated summary | Used to process the diagnostic request and any direct follow-up. At launch, these records are stored in transient application memory and may be deleted earlier than intended if the service is restarted, redeployed, or replaced. |
| Hosted report link | Configured to expire after 90 days, but may become unavailable earlier because of maintenance, service resets, or infrastructure changes. |
| Browser-session fallback data | Stored in sessionStorage only for the active browser session and cleared when the session ends or the browser storage is manually cleared. |
| Direct correspondence | Retained for a reasonable business record period where needed to answer your request, manage a dispute, or comply with law. |
| Optional operational notes opt-in | Retained until you unsubscribe, withdraw consent, or we discontinue the channel, subject to any minimal suppression records needed to honor the opt-out. |
Current Infrastructure Limit
Assessment submissions and generated report records are currently stored in application memory while the service processes the diagnostic request.
Hosted diagnostic links are configured to expire after 120 days and may become unavailable earlier if the service is restarted, redeployed, or replaced.
6. Security and confidentiality
We use reasonable technical and organizational measures to protect personal data appropriate to the nature of the diagnostic workflow. No internet transmission or storage environment is completely secure, and we cannot guarantee absolute security.
Hosted report links are bearer-style URLs. Anyone with an active link can view that report while it remains available. You should only forward that link to people you intend to have access.
7. Cross-border processing
Chalkline Reports serves business users in the United States, the United Kingdom, and select African markets. Your information may be processed in countries other than the country where you are located.
Where applicable law requires transfer safeguards, we intend to rely on appropriate contractual, organizational, or statutory transfer measures. Additional GDPR-specific details are provided in the GDPR Policy.
8. Your rights and choices
Subject to applicable law, you may have the right to request access to, correction of, deletion of, restriction of, portability of, or objection to our processing of your personal data.
- You can ask us to correct inaccurate contact or business details.
- You can ask us to delete or stop using information where the law allows and no overriding recordkeeping obligation applies.
- You can withdraw consent for optional operational notes at any time.
- You can ask whether an active hosted report link remains available.
Requests should be sent to privacy@chalklinereports.xyz. We may request reasonable verification before acting on a request.
